Universities South Africa (USAf) is the representative body of South Africa’s public universities. The organisation advocates for the higher education sector, conducts strategic research, and provides sector support services. Based in Pretoria, USAf operates as a non-profit organisation funded through membership fees, donor agencies, and contract management services.

Job Overview

Universities South Africa is seeking two experienced Project Administrators to provide administrative support for donor-funded projects within its Operations and Sector Support Directorate. The successful candidates will assist with project coordination, learner administration, stakeholder engagement, compliance management, reporting, and financial administration support related to bursary programme initiatives.

Minimum Requirements

  • Relevant Diploma or Bachelor’s Degree in Finance, Business Administration, Information Management, or a related field.
  • 5–6 years’ administrative experience.
  • Experience providing administrative support within a project management or office environment.
  • Strong record-keeping, filing, and data management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, and Advanced Excel).
  • Experience using Adobe Acrobat.
  • Ability to manage multiple tasks and stakeholder enquiries effectively.

Advantageous

  • Experience working within a SETA environment.
  • Knowledge of project management software.

Key Responsibilities

Project Coordination and Administration

  • Support the planning, implementation, and monitoring of bursary programmes.
  • Maintain project schedules, trackers, and milestone reports.
  • Coordinate meetings, workshops, and stakeholder engagements.
  • Prepare agendas, meeting minutes, and follow-up action reports.

Learner and Beneficiary Administration

  • Assist with learner recruitment, onboarding, and registration processes.
  • Maintain accurate learner records and databases.
  • Track student attendance, progress, and performance.
  • Provide administrative support and respond to learner queries.

Compliance and Documentation

  • Ensure project documentation complies with SETA policies and funding requirements.
  • Maintain electronic and manual filing systems.
  • Assist with the preparation of reports for SETA, funders, and internal stakeholders.
  • Monitor deadlines and ensure compliance with funding agreements.

Financial Administration Support

  • Assist with processing learner stipends, invoices, and payments.
  • Monitor project expenditure against approved budgets.
  • Support reconciliation of project-related financial records.

Stakeholder Engagement

  • Liaise with learners, training providers, SETA representatives, academic institutions, and internal departments.
  • Respond to stakeholder enquiries and provide timely communication.
  • Support collaboration between project teams and external partners.

Reporting and Monitoring

  • Compile weekly, monthly, and quarterly project reports.
  • Maintain accurate performance and evaluation data.
  • Assist with audit preparation and project close-out reporting.
