Job Description

We are looking for a Junior Tender Administrator to be a key contributor within a dynamic consulting environment, supporting the end-to-end administration of tender submissions on a 12-month fixed term contract. This role is responsible for ensuring that all tender documentation is prepared with precision, remains fully compliant, and is submitted within strict deadlines. Working closely with internal consultants and stakeholders, assists with identifying, coordinating and delivering tender opportunities, while maintaining accurate statutory and compliance records. With a strong focus on organisation, detail and quality, this role plays an essential part in ensuring smooth, professional and high-impact tender operations.

Key Responsibilities

Tender Administration

  • Identify and monitor tender opportunities via portals, newspapers, and procurement platforms
  • Download, organise, and distribute tender documents to relevant internal stakeholders
  • Prepare tender files and ensure all required documentation is completed and included
  • Coordinate the completion of tender schedules, forms, and declarations
  • Ensure compliance with tender specifications, requirements, and submission deadlines
  • Submit tenders electronically or physically and maintain proof of submission

Documentation & Compliance

  • Maintain and update company compliance documents (CSD, BBBEE, SARS, CIDB, COIDA, etc.)
  • Ensure all statutory documents and certifications are valid and renewed timeously
  • Compile tender packs in line with client and procurement specifications

Record Keeping & Reporting

  • Maintain an accurate tender register, tracking submissions, outcomes, and expiry dates
  • File and archive tender documentation for audit and reference purposes
  • Assist with reporting on tender status, performance, and outcomes

General Administration

  • Provide administrative support to management and relevant departments
  • Manage tender-related correspondence and communication
  • Schedule meetings, site briefings, and clarification sessions
  • Perform general office administration duties as required

Requirements

  • Diploma in Administration, Procurement, or a related field
  • 1–2 years’ experience in tender administration or a similar administrative role
  • Basic knowledge of South African tender processes and compliance requirements essential
  • Strong attention to detail and excellent organisational skills
  • Ability to work under pressure and meet strict deadlines
  • Good written and verbal communication skills
  • Proficiency in MS Office (Word, Excel, Outlook)
  • Highly organised and methodical
