Job Description
The Property Manager is responsible for the efficient day-to-day management, financial performance, and operational oversight of an assigned property portfolio. The role focuses on enhancing asset value, ensuring cost-effective operations, maintaining high property standards, and delivering a positive experience for tenants and stakeholders.
Key Performance Areas
Centre and Property Management
• Monitor market trends and property performance
• Develop and implement a five-year maintenance and asset management plan
• Initiate, evaluate and manage refurbishment and improvement projects
• Maintain hands-on control of ongoing projects
• Review property status and grading annually and ensure compliance with required standards
Financial Reporting and Analysis
• Prepare and submit accurate reports within agreed timelines
• Analyse monthly income and expenditure
• Monitor turnover rentals
• Review operating costs quarterly against approved forecasts
• Monitor municipal charges and recoveries on a monthly basis
Planning and Budgeting
• Prepare and manage annual budgets
• Review rentals quarterly to ensure optimal market-related rates
• Assist with the development of business plans for centres
• Conduct quarterly performance reviews and financial monitoring
Capital Expenditure and Audits
• Set and motivate capital expenditure and tenant installation philosophies per building
• Approve tenant installation specifications as recommended by the Project Manager
• Approve capital expenditure within delegated authority levels
• Ensure adherence to capital expenditure policies and procedures
• Estimate new and future operating costs
• Ensure recovery of operating costs in line with lease agreements
Debtors and Creditors Management
• Liaise with Debtors and Leasing departments to manage arrears and corrective actions
• Oversee credit control processes including legal actions and write-offs
Tenant and Customer Liaison
• Manage relationships with new and existing tenants
• Conduct lease negotiations and oversee lease administration
• Ensure leases are renewed timeously and vacant space is marketed and presented effectively
• Maintain an optimal tenant mix
• Engage with tenants, the public and external organisations
New Tenant Management
• Recommend letting mandates
• Negotiate leases and manage onboarding processes
• Control new lease agreements and documentation
• Oversee and coordinate new tenant installations
Existing Tenant Management
• Ensure timely renewal of lease agreements
• Maintain tenant relations and public engagement
• Coordinate and oversee centre promotions
• Assess tenant turnover, stock performance and merchandising to identify growth or trading challenges
• Maintain accurate tenant turnover records
Expense and Cost Control
• Review and authorise payments and supplier accounts
• Approve maintenance, cleaning, consumables and electrical work orders
• Manage municipal payments and cost recoveries
• Ensure contractor performance, service delivery and cost efficiency
Public Relations, Security and Compliance
• Establish and maintain strong public relations for the centre
• Drive initiatives to attract visitors and improve centre visibility
• Coordinate advertising and promotional materials
• Support and motivate tenants to enhance service delivery
• Oversee repairs, maintenance and general condition of the centre
• Ensure effective security management, including inspections and system improvements
• Ensure compliance with occupational health and safety regulations
• Develop and maintain emergency preparedness plans
• Manage security officers and cleaning staff on duty
People Management and Administration
• Ensure accurate management reporting and record keeping
• Maintain professional relationships with tenants, suppliers, contractors and service providers
• Supervise centre staff and ensure optimal performance
• Perform additional duties as required to support centre operations
Qualifications, Skills and Experience
• Minimum of 5 years’ experience as a Property Manager in a retail property environment
• Bachelor’s degree or equivalent experience preferred
• Strong strategic and commercial thinking with the ability to develop and execute business plans
• Solid understanding of lease agreements, loan documentation and property-related contracts
• Proven people management and leadership experience
• Strong financial acumen with experience in budgeting and financial reporting
• Results-driven, self-motivated and able to work independently
• Excellent organisational skills and attention to detail
• Proficient in Microsoft Word, Excel and Office applications
• MDA system experience will be advantageous
• Strong written and verbal communication skills
• Estate Agency Affairs Board Competency Certificate (NQF Level 4) preferred
• Valid driver’s licence preferred
