Job Description
An exciting opportunity has become available for a Strategic Platforms Co-ordinator to join the National Convention Bureau (NCB) at the Head Office in Sandton. Reporting to the Strategic Platforms & Events Manager, the successful candidate will support the planning, coordination, and delivery of strategic trade platforms, exhibitions, and events while ensuring exceptional stakeholder and exhibitor experiences.
Key Responsibilities
Strategic Platform & Trade Show Coordination
- Coordinate the sale and allocation of exhibition space across South African Tourism’s international trade platforms.
- Support the planning and execution of South African Tourism’s participation in local and international trade shows and sales activations.
- Coordinate project status meetings with internal teams, suppliers, and external stakeholders.
- Liaise with trade show organisers, exhibition venues, and stand-building service providers.
- Prepare reports, presentations, and stakeholder documentation for strategic platforms and events.
- Manage exhibitor enquiries and provide ongoing support before, during, and after events.
- Coordinate event logistics, supplier administration, and exhibition operations.
- Oversee exhibitor registration, stand-sharing administration, and related communications.
- Coordinate branding, signage, and exhibition marketing materials.
- Arrange exhibition services such as Wi-Fi, scanning devices, security, catering, and other operational requirements while ensuring payments are processed.
- Support on-site marketing and promotional activities during exhibitions.
- Collect and consolidate post-event evaluations and stakeholder feedback.
- Assist with event budgeting and financial administration.
- Maintain accurate project documentation, databases, invoicing, exhibitor communications, and project plans throughout the event lifecycle.
Project Support
- Provide project coordination support for strategic platforms, including Lilizela and other South African Tourism events.
- Assist in coordinating integrated sales and event projects.
- Provide administrative support across all strategic platforms and events.
- Coordinate logistics to ensure the successful delivery of exhibitions and events.
- Support business development initiatives through the coordination of trade shows, media activities, and sales projects.
- Coordinate supplier administration and procurement processes related to events.
Client & Stakeholder Relations
- Respond to customer and exhibitor enquiries professionally and efficiently.
- Prepare quotations and client documentation where required.
- Ensure all exhibition administration is completed accurately and within deadlines.
- Monitor customer accounts and assist in ensuring payment terms are met.
- Provide on-site customer service support during exhibitor installation and event setup.
- Build and maintain positive relationships with exhibitors, suppliers, and stakeholders to ensure high levels of customer satisfaction.
Minimum Requirements
- National Diploma in Sales & Marketing, Tourism, Hospitality Management, or an equivalent qualification.
- Minimum of 2 years’ experience in sales, tourism, hospitality, or exhibition coordination within the MICE (Meetings, Incentives, Conferences and Exhibitions) industry.
- Experience in exhibition coordination, tourism marketing, and sales will be advantageous.
- Knowledge of the South African National Convention Bureau (SANCB) and its mandate will be beneficial.
Skills & Competencies
- Strong planning, organisational, and time management skills.
- Excellent verbal and written communication skills.
- Fluency in English; additional language proficiency will be advantageous.
- Strong customer service and stakeholder management abilities.
- Excellent administrative and project coordination skills.
- Ability to work under pressure while managing multiple projects and deadlines.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and experience working with CRM databases.
- High attention to detail with strong problem-solving and coordination abilities.
